Terms & conditions

These business terms govern use of HoundBase and are between the customer and Muhammad Ibrahim Khan trading as HoundBase.

1. The service and supplier

HoundBase is a trading name of Muhammad Ibrahim Khan, operating as a sole trader in the United Kingdom. HoundBase provides hosted software for operational dog-care records, including dog profiles, attendance, welfare notes, incidents and documents.

HoundBase is an evolving early-access service. Features may change as the product develops, provided that HoundBase will not knowingly remove material paid functionality without reasonable notice.

2. Business use

HoundBase is supplied for business use by dog day-care operators, home boarders and related organisations. It is not a consumer pet service. The customer remains responsible for ensuring its own operation, licensing, animal welfare, employment practices, privacy compliance and record keeping meet the legal and regulatory requirements that apply to it.

3. Accounts and authorised users

  • Customers must provide accurate account information and keep credentials secure.
  • Access should be given only to authorised people who need it for the customer's business.
  • Customers are responsible for promptly removing team access when it is no longer required.
  • HoundBase may suspend access where reasonably necessary to protect the service, customer data or other users, or where there is a material breach of these terms.

4. Customer data

The customer retains its rights in information entered into HoundBase. The customer authorises Muhammad Ibrahim Khan trading as HoundBase to process that information as needed to provide, secure, support and maintain the service and as described in the data processing agreement.

The customer is responsible for having an appropriate lawful basis and providing any notices required before entering personal information into HoundBase.

5. Acceptable use

Customers must not misuse the service, attempt unauthorised access, bypass security controls, upload unlawful or malicious material, infringe another person's rights, interfere with the operation of HoundBase or use the service in a way that creates a material security risk.

6. Fees, pilots and billing

Any paid pilot or subscription will state the applicable price, billing frequency, renewal position and payment terms before the customer commits. Where a third-party payment provider is used, its payment processing terms may also apply.

HoundBase will not activate real-data paid customer use until the infrastructure and operational launch gates identified for that use have been completed.

7. Availability, changes and support

HoundBase aims to provide a reliable service but does not promise uninterrupted or error-free availability. Planned maintenance, emergency work and third-party infrastructure incidents may affect access. Specific service levels or response times apply only where agreed separately in writing.

8. Confidentiality

Each party must take reasonable care to protect confidential information received from the other and use it only for the relationship between them, except where disclosure is required by law or the information is already lawfully public.

9. Intellectual property

Muhammad Ibrahim Khan trading as HoundBase and any relevant licensors retain rights in the software, branding, documentation and underlying service. During an active pilot or subscription, the customer receives a limited, non-exclusive, non-transferable right to use HoundBase for its internal business operations.

10. Operational responsibility

HoundBase is a record and operations tool. It does not replace professional veterinary, legal, licensing, insurance, safeguarding or regulatory advice. The customer remains responsible for decisions made about animals, staff and clients and for checking that records entered into HoundBase are accurate and complete.

11. Liability

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability that cannot legally be excluded under the law of England and Wales.

The final monetary liability cap and any detailed exclusions for a paid commercial contract will be confirmed before paid customer activation. Until then, these terms are an early-access draft and should not be treated as a negotiated enterprise agreement.

12. Ending the service

Pilot or order terms will state how either party may end the service. Following termination, HoundBase will provide a reasonable opportunity to export customer information where applicable and will then delete remaining customer data in line with the data processing agreement, privacy notice and documented backup-retention process.

13. General terms

If part of these terms is found unenforceable, the remaining provisions continue to apply. A failure to enforce a provision immediately does not waive the right to enforce it later. Changes to these terms will be communicated where they materially affect an active customer relationship.

14. Governing law and contact

These terms are governed by the law of England and Wales and the courts of England and Wales will have jurisdiction, subject to any mandatory rules that apply.
