Inspection-readiness

When someone asks for the record, can you produce it?

HoundBase helps licensed dog day cares and home boarders keep operational records organised and easier to retrieve when they are needed — without claiming that software alone makes a business compliant.

Current England guidance

Current statutory guidance for dog day care and home boarding requires relevant records to be available for inspection in a visible and legible form. Where records are kept electronically, they must be readily producible, required records must generally be retained for at least three years, and electronic records must be backed up.

Exact licence conditions and record requirements depend on the activity and local authority. HoundBase does not guarantee legal compliance and this page is not legal advice.

The practical record

Keep the evidence connected to the working day.

Attendance and movement

Keep a clear record of when each dog attended, including check-in and check-out history.

Dog identity and care context

Keep core dog details, microchip information, allergies, feeding, medication, behaviour and veterinary context together.

Owners and emergency contacts

Keep owner contact details and emergency information connected to the dog rather than scattered across messages and forms.

Welfare and incidents

Record observations, incidents, actions taken and owner notification while the details are still fresh.

Documents and dates

Keep supporting documents with useful expiry dates visible so records are easier to review ahead of renewal or inspection.

Retrieval and backup

Electronic records need to be readily producible in visible, legible form and backed up. HoundBase keeps the operational record connected instead of forcing reconstruction later.

Five-minute check

Before renewal or inspection, test retrieval — not memory.
